Multi Brand Electrical Equipment Company Optimizes Data Storage And Automates Reporting With MSBI And Power BI

Our client is India’s leading Fast-Moving Electrical Goods (FMEG) manufacturer, producing a wide range of world-class industrial and consumer electrical products. It manufactures 90% of all its products in house and has an extremely strong global presence with manufacturing plants located across 12 manufacturing locations in India.

Intending to multiply its growth prospects and sustaining its competitive edge, the stakeholders were looking for a solution to automate their reporting process and utilize their data in a consumable format at regular intervals to increase business efficiency and clarity of information.

They partnered with another solution provider who couldn’t deliver a reliable solution. We helped them optimize the solution that was based on Microsoft BI Suite (SSIS, SSAS & SSRS) & Power BI to optimize the data storage and then creating reports and dashboards to fuel the decision-making and to achieve process efficiency.

Challenges-

Initially, the client was struggling with a lot of disparate excel spreadsheets as they were not using any reporting tool in their system. There was a heavy reliance on manual data collation from these spreadsheets to prepare reports.

Initially, another service provider was involved, who couldn’t deliver a solution to meet the business expectations. The system developed was erroneous as best practices were not followed for the Data Warehouse, Power BI reports didn’t offer intractability nor the expected business insights since table visuals were used primarily.

The system provided was not strict adherence to the hierarchy control required, such as in reports, there were some vendors who were not onboarded, yet their data was flowing into the environment.All these processes were defeating the purpose that solution was targeted to counter.

Additionally, they were using SAP BO for reporting where they were storing the entire data and generating reports for the client’s usage. In the beginning, the vendor asked to make HR Dashboards, and in creating that process, they were experiencing limitations in the way they were collating data from different domains and integrating it witha centralized repository.

The major concern for them was a centralized repository optimized to cater to function & department specific requirements.It was limiting the innovation in terms of business decisions and exposing the workforce to manual & redundant activities.

Solutions Implemented-

Being Microsoft gold partners for Data & Analytics, our consultant could easily identify the root cause of the problems and suggested an optimum architecture and solution development approach to turn-around the implementation.

Triggers created to monitor any anomalies in fact and master mapping, which was resulting in erroneous reporting. A reporting mechanism was set in place to eliminate the hassle of manual monitoring of such incidents. This was a crucial step to maintain the hygiene of the data that was coming into the system.

We deployed a SQL based data warehouse through SSIS for creating a centralized repository for collecting the data from different operational systems. SSRS reports were set in place from the tables generated from this exercise.

Since the data size was huge, we created a middle layer in the form of data cubes catering to different business domains using SSAS. This was a necessary step for creating a well-optimized solution. Microsoft Power BI Reports were set up based on these cubes for time-sensitive & crucial reports that require real-time analysis.

These reports were connected to their in-house portal that targets users from different functions. Hierarchy-based access to reports had been created so that it is not chaotic, and users can see only what they require.

All these implementations are done keeping in the business intricacies. One such scenario was following an apt load technique to fulfil function-specific requirements. We captured the requirements precisely and delivered solutions fulfilling exact requirements. For instance, data from sales will be inserted in charts, data extracted for HR will be in a snapshot, and data of freight is kept in incremental load. So, we have deployed different kinds of data loads to meet the specific business requirement.

We ended up delivering end-to-end services right from requirement gathering to reporting testing, maintenance and more. We piloted with HR & Freight data and later worked on streamlining the processes and platforms for sales and distribution, quality control, finance and material management as well.

The Results

They have a centralized repository in place connecting all the source systems. It has resulted in manual reporting replaced with automation, and notifications are triggered for any detected issue.

Reporting is automated with auto-emailers being triggered for the set frequencies such as – daily, monthly, and quarterly reports as per the end-user requirements. These reports help employees as well as dealers to remain informed.
